Car Rental Terms & Conditions

Please read these terms carefully before renting a vehicle from Insider Car Rental

Introduction

  • These terms apply to reservations made directly on the Insider Car Rental website.
  • If you booked through a third party (for example an online travel agent), their own terms and the voucher they issued will apply — please refer to those instead.

Driver Licence and Identification Requirements

  • All main drivers must present a valid original driving licence that includes a photo ID. Photocopies are not accepted.
  • Driving licences must have been held for at least 1 year.
  • Licences must be written in English or use the Latin/Roman alphabet. If the licence is not in English or does not use the Latin/Roman alphabet, an International Driving Permit (IDP) is required in addition to the original licence.
  • It is the renter's responsibility to check whether their licence is valid for driving in the country of hire and whether an IDP is needed by local law.
  • If you arrive at the rental desk without the required licence or IDP (when required), the reservation will be cancelled at the counter and no refund will be given.

When Rental May Be Refused

We may refuse to rent a vehicle for reasons including (but not limited to):

  • Recent or unresolved driving disqualifications
  • Ongoing police enquiries or pending prosecutions
  • Convictions for theft, fraud or other dishonesty offences
  • At-fault accident within the last 5 years
  • More than one accident in the past 3 years
  • Impaired or defective vision

Acceptable Forms of Photo ID

  • Passport or national identity card

Local Traveller Restrictions

  • Not applicable

Payment Methods and Card Rules

  • The card used for security deposit and any on-site charges must be in the main driver's name.
  • We may require identity verification for all payments related to car rentals.
  • The card must have sufficient available funds to cover the security amount and any potential charges, and its expiry date must be at least 2 months after the rental return date.
  • Card details (card number and expiry date) must be clearly visible. Cards without these details cannot be accepted.
  • If the booking was paid with a third-party card, you may be asked to provide proof of authorisation for that payment. Failure to provide requested authorisation may result in the rental being refused.
  • If a valid card is not provided at pick-up, the booking may be cancelled and no refund will be issued for any prepaid amount.

Deposits and Pre-authorisations

We require a security deposit which will be pre-authorised (ring-fenced) on the main driver's credit card or debit card at pick-up. A pre-authorisation holds funds but does not withdraw them; the amount will be released by the bank after the hold is removed. The time the funds remain unavailable depends on the card issuer and country (commonly 5–15 days but can be longer).

Basic Package (included in rental price):

  • Damage excess: €2,000
  • Deposit required: €500

Premium Package (available for additional fee):

  • Fee: €30 per day
  • Damage excess: €0
  • Deposit required: €200

Important: Certain types of damage and costs are not covered by the standard excess and may be charged in addition. Examples include (this list is not exhaustive): damage to windows, mirrors, wheels, tyres, undercarriage, engine, clutch, the vehicle interior, lost keys, towing charges, flat battery, and loss of use. Third-party liability is included in our rates and is limited to €1,000,000 for property and bodily injury.

Insurance and Third-Party Excess Cover

  • If you buy an excess-reimbursement policy from a third party, that policy typically reimburses you after you have paid the excess to us. In practice this means you remain liable to pay the deposit/pre-authorised amount at pick-up.
  • If damage occurs, you must pay Insider Car Rental for the loss/damage first; if applicable, you may then claim reimbursement under any external insurance you purchased.

Driver Age and Surcharges

  • Minimum driver age: 18 years
  • Maximum driver age: 99 years
  • Young driver surcharge: N/A
  • Senior driver surcharge: N/A

Fuel Policy

We operate a full-to-full fuel policy. You must return the vehicle with the same level of fuel as at collection.

  • If the vehicle is returned with less fuel than supplied, we will charge €3.00 per litre for petrol and €3.00 per litre for diesel, plus a €13 refuelling fee.
  • A fuel deposit may be reserved on your card and released when the vehicle is returned with the same fuel level. Charges for missing fuel are applied on return. The price we charge per litre may be significantly higher than local service station prices.
  • This fuel policy applies to all rental packages.

Mileage

  • All our vehicles are offered with unlimited mileage.

Cross-Border Travel

Travel across international borders is allowed only by prior request and written permission, and is limited to the following countries when permitted: Sweden and Norway. The cross-border fee for these countries is €100 per rental.

Important Notes:

  • Border or customs authorities may require specific documents; if you cannot produce them, the vehicle may be detained.
  • Our insurance cover and the agreed deductibles apply only within Finland, unless the cross-border fee has been paid and written permission granted.
  • Any cross-border travel without our prior written permission is a breach of the rental agreement and may result in immediate termination of the rental and full liability for all resulting costs, damages and losses.
  • If a vehicle is not returned to an Insider Car Rental location in Finland after cross-border travel, we reserve the right to charge you for the full cost of recovering and returning the vehicle, plus any additional expenses incurred.

Optional Extras and Charges

Optional extras are offered subject to availability and may change in price without prior notice.

Current Optional Extras and Rates:

  • Child seat: €15 per day
  • Booster seat: €8 per day

The hirer is responsible for fitting any child or baby seats. Our staff will not install child seats because the renter must accept responsibility for correct installation.

Additional Driver

  • Additional driver fee: €7 per day for each additional authorised driver.

Out-of-Hours Services

  • Out-of-hours pick-up or drop-off may be possible by prior arrangement but is not guaranteed and may carry extra charges.
  • Not all locations provide out-of-hours returns. Do not assume a 24-hour service is available—check the specific location in advance.
  • Rentals commencing or finishing after midnight may be subject to a higher rate.

Delivery / Collection Service

  • Delivery and collection services are available as an additional service within a 30 km radius of our office.

Tolls

  • Not applicable.

Safety, Accidents and Related Procedures

Accidents and Claims:

Always report accidents honestly and follow the instructions in the rental agreement. If you fail to report an accident properly or provide false information, any risk-reduction options you took may be invalidated and you may become fully liable for all costs. A replacement vehicle after an accident is not guaranteed.

Lost, Stolen or Damaged Keys:

Charges apply for lost or damaged keys. If a vehicle is stolen and the keys are not returned, this will be treated as negligence and you will be charged for recovery, repair, loss of use and any other related costs. Lost keys are not covered by excess reduction options.

Lost Property:

If you leave personal items in the vehicle or at a branch, notify us as soon as possible. We will make reasonable efforts to recover and return items, but we cannot accept liability for loss or damage to personal effects left in the vehicle or at our premises.

Vehicle Trackers:

Some vehicles may have tracking devices fitted. Any tracking and related data processing is handled in line with our privacy and data protection policy.

Cancellation, Delayed Collection and No-Show Rules

Delayed Collections / No-Show:

We hold reservations for 2 hours from the booked pick-up time. If you arrive after that window or the office closes in the meantime, a vehicle cannot be guaranteed. We will do our best to provide an alternative vehicle but rates and models may differ from your original booking. If you fail to collect within the allowed time without notifying us (a no-show), the booking is non-refundable. It is your responsibility to inform the branch of any delays.

How to Cancel:

All cancellations must be made in writing (email). Telephone cancellations are not accepted.

Cancellation Refunds:

  • Cancellation made 7 or more days before the rental start date: refund of the prepaid amount minus the cancellation administration fee
  • Cancellation made 3–6 days before the rental start date: 50% refund of the prepaid amount
  • Cancellation made 2 days before the rental start date: 25% refund of the prepaid amount
  • Cancellation made 0–1 days before the rental start date: no refund
  • There is a minimum cancellation fee of €15. If the prepaid amount is less than this minimum fee, no refund will be issued regardless of when you cancel.

All Packages Include:

  • 24/7 breakdown assistance (note: recovery services such as towing or jump-starts may not be included)
  • Road tax
  • Third party liability (limits as stated earlier)
  • VAT at 25.5%
  • Vehicle licence fee
  • Winterisation fee (applies from 01/11 to 31/03)

Vouchers and Documentation at Pick-up

  • You must present the booking voucher (printed or electronic) at the collection.
  • If you cannot present your voucher, the branch may charge local rates or refuse to release the vehicle — in which case any prepaid funds will not be refunded.

One-Way Hires

  • One-way hires are not currently available.

Vehicle Model Guarantee

  • We will make every effort to supply the exact car model you booked.
  • However, in the event of force majeure, breakdowns or other unforeseen circumstances, we may provide a replacement vehicle of an equivalent or different model.

Vehicle Condition and Return Requirements

  • Check the vehicle carefully before taking charge and report any existing damage. You are responsible for keeping the vehicle roadworthy while it is in your care (for example, maintaining oil and tyre pressures).
  • Only pre-authorised maintenance or repairs will be reimbursed by us.
  • Return the vehicle in the same condition it was provided (reasonable wear and tear excepted). If the vehicle requires more than a standard clean or has damage to seats, upholstery or carpets, a deep-cleaning or repair charge will apply and will be based on the state of the vehicle at return.
  • Vehicles returned out of hours remain your responsibility until the branch inspects them.
  • Vehicles handed back between 16:00 and 09:00 will be inspected later (but within 24 hours). Any newly identified damage will be reported to you within 72 hours.
  • For short-term rentals (less than 90 consecutive days) there is no allowance for wear and tear beyond normal use; any change in vehicle condition during the hire remains your responsibility.

Smoking, Animals and Valeting Charges

  • No smoking in any vehicle. This includes electronic cigarettes and vaping. If evidence of smoking is found, a minimum charge of €200 will apply.
  • Animals may only be transported if kept in appropriate containment. If an animal soils the vehicle, a valeting fee will apply (minimum €200). Specialist cleaning for hazardous or excessive soiling will be charged as required.

Rental Extensions, Late and Early Returns

  • Extensions are subject to branch approval and vehicle availability. If an extension is agreed, the rental will be charged at the prevailing rate, which may differ from your original rate.
  • Cars may travel on ferries, but extra fees may apply — check with the rental station.
  • If you fail to return the vehicle at the agreed time without authorisation you will face a non-authorised extension penalty of €200 and may be blacklisted from future bookings.
  • Returning the vehicle early does not entitle you to any refund for remaining rental days or ancillary products purchased.
  • Late returns beyond the allowed grace period will incur extra rental charges. The grace period is 59 minutes. Any extra day or charge will be billed to the card used for the security deposit.

Amendments, Fines and Administration Charges

  • To amend a reservation you must email us at least 24 hours before the rental start. Telephone amendment requests are not accepted. Amendment requests are not guaranteed and may be treated as a new booking.
  • You are responsible for any parking fines, tolls, traffic penalties, or related charges incurred during the hire. If we process these on your behalf, an administration fee will be charged.

Opening Hours

  • Check the location opening hours and any holiday closures on our website before travel.

Complaints and Dispute Resolution

  • Complaints must be submitted in writing (email) within 30 days from the final day of your rental. Complaints submitted after this time may not be considered.
  • If communication pauses for more than 30 days during our investigation, the case will be considered closed.
  • If we cannot resolve a dispute through written negotiation, the matter will be settled in the Rovaniemi District Court under Finnish law.

Data Protection (GDPR)

  • How we collect, use and store your personal data is explained in our privacy policy on the website.

Promotions

  • Promotional or discount codes applied at booking are included in the displayed price.
  • Any terms associated with a promotion must be complied with at the time of collection.

General Terms and Important Notes

  • All bookings are subject to these terms and conditions.
  • We are not liable for actions by customers such as driving under the influence of alcohol, drugs, or psychoactive prescription medication, wilful damage, off-road driving, or driving without due care and attention. In such cases the hirer is fully liable for all resulting costs and the insurance excess limitations will not apply.
  • Booking confirmation vouchers are sent by email as part of your booking confirmation. All transactions are subject to VAT. If you require a VAT invoice, this must be issued by the location that performed the rental after the rental has been completed.
  • Comprehensive insurance allows the hirer to drive the vehicle and provides cover for accidents. If the hirer is found negligent, we reserve the right to recover all losses from the hirer.
  • Calls to Insider Car Rental may be recorded for training, quality and security purposes.
  • We reserve the right to cancel a rental or refuse service at any time.
  • Terms issued October 2025. These terms may be updated or changed at any time; the version posted on our website at the time of booking is the version that applies.
